Please review this policy thoroughly prior to making a reservation. By reserving a yacht with WarmVistaOrchid, you consent to these terms of refund.
Standard Cancellation and Refund Schedule
Over 72 Hours Before Charter
Qualified for: Complete reimbursement minus any processing charges
Processing Duration: 5-7 business days
Processing Charge: €50 for credit card operations
Requirements: Refund demands should be made in written form through email or telephone communication
Between 24 to 72 Hours Before Charter
Qualified for: Half of the total charter cost
Processing Duration: 7-10 business days
Processing Charge: €25 subtracted from the reimbursement sum
Requirements: A legitimate reason is required; administrative fees are incurred
Less than 24 Hours Before Charter
Qualified for: Refunds are not available
Exception: Emergency cases may be taken into consideration
Alternative: Voucher for future charter could be offered at the discretion of the management
Requirements: Emergency claims require appropriate documentation
Weather-Related Cancellations
Our Weather Guarantee
Your safety is paramount. If weather conditions are determined unsafe for sailing by our certified captain, we offer several flexible alternatives:
- Complete Refund: Full reimbursement if rescheduling isn't feasible
- Reschedule: Transfer your booking to a subsequent available slot without any extra cost
- Charter Credit: Receive a voucher valid for one year from the original charter date
Weather Evaluation Procedure
Our weather evaluation includes:
- Evaluation of wind speed and bearing
- Assessment of wave magnitude and sea conditions
- Analysis of visibility and precipitation predictions
- Adherence to Coast Guard advisories and announcements
- Safety evaluation by a professional captain
Decision Timing: Decisions regarding weather cancellation are made no later than 4 hours ahead of the planned departure time.
Medical Emergency Refunds
Urgent Conditions
We understand that unforeseen medical emergencies can arise. Below are the conditions that could be eligible for special refund consideration:
- Sudden health issues or injuries necessitating hospitalization
- Passing away of an immediate family member
- Impromptu military deployment or call-back
- Compulsory jury service or judicial subpoena
- Catastrophic events impacting travel
Proof Obligations
For processing a request for an emergency refund, please present:
- A medical statement or hospital records
- A death certificate (in applicable cases)
- Verified military directives
- Judicial summons or notice for jury duty
- Official travel advisories or emergency proclamations
Processing: Requests for an emergency refund are managed within 3-5 business days following the submission of the appropriate documents.
Operational Cancellations
Technical Difficulties
If the yacht assigned to you encounters unresolvable technical difficulties:
- Replacement Vessel: We'll make an effort to provide a similar substitute
- Complete Refund: Granted if we can't find a suitable replacement
- Partial Refund: Issued if the replacement yacht has dissimilar pricing
- Compensation: Additional reparation may be offered for any inconvenience
Crew Nonavailability
In the uncommon instances where a certified crew is unavailable:
- Substitute crew will be arranged when feasible
- Complete refund if the charter cannot proceed
- Option to reschedule without additional cost
Refund Processing
Payment Form
Refunds are credited back to the original form of payment utilized for the booking:
- Credit Cards: Processed within 5-7 business days
- Bank Transfers: Processed within 7-10 business days
- Cash/Cheque: Processed within 3-5 business days

A €50 fee applies to cancellations made over 72 hours prior
Bank Transfer Operations
There is a €25 charge for all bank transfer reimbursements
International Operations
Extra charges might apply for transactions made across national borders
Charter Credits
Instances for Credit Offer
Under certain situations, charter vouchers may be offered as an alternative to cash refunds:
- Cancellations made at a short notice (less than 24 hours prior)
- Cancellations due to weather conditions
- Voluntary requests to change the reservation date
- Unplanned operational disturbances
Credit Details
- Validity Period: Vouchers are valid for 12 months from the date of issuance
- Non-transferable: Vouchers are not assignable to others
- Monetary Value: Reflects the full worth of the yacht rental (processing charges are waived)
- Redemption: Applicable towards any future yacht rentals within the validity period
- Expiry: No prolongation beyond the 12-month limit
Partial Service Refunds
Service Disruptions
If your yacht rental is disrupted or shortened by factors we control:
- A refund allocated proportionally based on the unutilized duration
- Voucher equivalent to the cancelled portion for future use
- Complimentary extras or upgrades
Client-Related Disruptions
In cases where a yacht rental is ended sooner due to guest misconduct or infringement of safety measures:
- Unutilized time will not be reimbursed
- Payment is still required in full
- Additional fees may be levied
Resolution of Disagreements
If there is disagreement with the decision regarding refunds, customers have the option to:
- Call for a reassessment by our management
- Submit further proof or substantiation
- Seek a solution through consumer rights organizations
- Explore legal avenues under the appropriate jurisdiction

Step 3: Evaluation and Finalization
Our staff will acknowledge your refund petition within a day, assess it in accordance with the terms of this policy, make a verdict within 48 hours, and conduct authorized refunds following the reported time frames.
